Performance Racing || Event Check-In System

Fast Horse Performance Racing event check-in system was born from the need to reduce the manual work load on check-in attendants at racing and social events as well as reduce the the wait times for guests as demand increased, reduce errors, and reduce overall business costs.

Fast Horse Performance Racing

Project Objective:

The goal of this project was to transform a historically manual process into a mobile device application that would support the onsite event check-in process while maintaining the human point of touch. Business was presented with three options for the event check-ins. Our goal was to identify and implement the most viable solution within 40 days to accommodate the year's event timeline. The project aimed to: reduce stress on the check-in attendant, reduce training, reduce line wait time, reduce overall frustration, scale to accommodate event growth, and reduce business cost.

  • Usability testing to ensure smooth interaction.

The Solution:

The solution for Fast Horse Performance Racing was to create an in-house digital solution for event check-in that: offered the ability to scan an attendees QR code for entry, optional manual lookup as a fail safe for loss of ticket, or QR code malfunction, ability to view the guest list from 3 key bucket views, instant event stats for use of the attendants and on-site managers with supporting data for expected guests vs. number currently checked in. These key features improved several areas of the experience for both attendants and attendees as well as a projected 5-year savings of $110k from the previous manual experience.

What I Learned + Next Steps:

This project helped me to deepen my understanding of onsite event check-in systems and the overall user experience from multiple points of view. The project reinforced the importance of adapting to a more streamlined and scalable way of attendant check-in in order to evolve with the changing landscape and demands of the performance racing industry as well as the positive business impact that an in-house solution can offer over time. This project was just the MVP so there is still plenty room for improvements across the product. As for what the future of this product holds, I envision further developments in the direction on an unattended check-in system, a more robust stats offering, and attendant badging to further increase the attendee satisfaction and continue to increase the ROI.
